Twelve weeks before the move
- Confirm lease handover dates at both the old and new offices.
- Engage Project Furnishing for the new-office FF&E plan: desks, chairs, meeting rooms, break-out areas, signage.
- Engage Technical Installations for cabling, Wi-Fi, AV systems, server rooms.
- Engage Logistics & Warehousing for the move plan, including any temporary storage.
- Decide what to retire and engage E-Waste Recycling for old IT, AV and furniture.
- Inform staff and lock the move date. Communicate at least eight weeks in advance.
Six weeks before the move
- New-office fit-out begins: structured cabling, AV systems, Wi-Fi access points, security.
- FF&E manufacturing in progress; delivery to new office staged for two weeks before move-in.
- Inventory of old-office equipment: what moves, what gets disposed, what gets donated.
- Client and supplier communications plan for the new address.
- Test ICT migration plan on a small pilot team if your IT setup is non-trivial.
Two weeks before the move
- New-office FF&E installation complete. AV and IT tested with end-to-end ping tests.
- Staff pack personal items into provided crates.
- Final walk-through with the moving logistics team and any landlord representatives.
- Building services confirm move-in and move-out windows for both buildings.
Move weekend
- Friday evening: IT shutdown at the old office.
- Saturday: full move of workstations, files, server equipment, plants.
- Sunday: IT setup and testing at the new office. Final FF&E touches.
- Monday morning: staff arrive, find their workstation, log in, and start the day.

Old-office close-out and equipment disposal
- Old office cleared and handed back to the landlord with original-condition photos.
- Old IT equipment retired through certified WEEE recycling with Certificates of Data Destruction for anything that held data.
- Old furniture donated, refurbished or recycled depending on condition.
- One-week on-site support at the new office to handle teething issues.
The disposal step is the one most likely to be skipped under time pressure. Skipping it creates a GDPR risk (data on retired laptops) and a sustainability-reporting gap. - Old equipment forgotten until the landlord inspection. Schedule ITAD pickup the same weekend as the move.
